SyncChat is a WhatsApp business messaging platform operated by Leadsync. This policy explains what personal information we collect, why we collect it, and how we look after it. It should be read together with our Terms & Conditions and POPIA notice.
We collect account information you provide when registering (name, email, company details, and address), the WhatsApp numbers you connect, and the contacts and messages that flow through your connected number. We also collect basic technical data such as log timestamps and usage metrics needed to operate the service.
We use your information to provide and maintain the platform, deliver and log WhatsApp messages, power AI replies, provide support, process billing, and keep the service secure. We do not sell your personal information to third parties.
Messages sent and received through your connected number are stored so you can view conversation history and so the AI agent can reply in context. Message content may be processed by our AI and messaging providers solely to generate replies and deliver messages. Content is not used to train third-party models beyond what is required to produce a response.
We share data only with the service providers needed to run SyncChat — including our WhatsApp delivery providers, database and hosting infrastructure, AI/language providers, and payment processors. Each is bound to handle data securely and only on our instructions.
Where your number runs on the official WhatsApp Business Platform, messages and the phone numbers they are sent to are processed by Meta Platforms in order to deliver them, and are handled under Meta's own terms and privacy policy. Message templates you create are submitted to Meta for review before they can be used. Meta may process this data outside South Africa; we rely on the safeguards in Meta's data transfer terms for those transfers.
We retain your data for as long as your account is active. On termination, data is retained for 30 days and then deleted, unless we are required to keep it longer to comply with the law.
You may request access to, correction of, or deletion of your personal information at any time by contacting us. Where we rely on your consent, you may withdraw it. Your rights under the Protection of Personal Information Act (POPIA) are described in our POPIA notice.
We use industry-standard measures — encryption in transit, access controls, and isolated per-organisation data — to protect your information. No system is perfectly secure, but we work to keep your data safe and to notify you promptly of any breach that affects you.
We may update this policy from time to time. Material changes will be communicated through the platform or by email. Continued use of SyncChat after an update means you accept the revised policy.
